About the Position
Reporting to the Property Manager, the Rental Coordinator is a member of the rental operations team, responsible for exceptional customer service and negotiation skills. This position is accountable for the leasing and administration of multi-residential apartments. They show available units, qualifying prospective residents and successfully negotiate leases to achieve optimum occupancy.

Hours: Monday-Thursday 2:00 PM - 7:00 PM, Friday – Off, Saturday/Sunday - 12:00 PM – 5:00 PM

Duties and Responsibilities:
  • Market, show/rent apartments, professionally responding to telephone and “walk-in” inquiries.
  • Record all telephone and in-person visits, complete traffic reports and market surveys.
  • Provide prospective residents with suite, community information and forms, helping to complete applications and secure deposit in accordance with the company’s policies and procedures.
  • Respond to Resident questions, concerns, or complaints in a timely and compassionate manner
  • Perform landlord reference checks, process credit checks, and prepare lease agreements
  • Follow up with all applicants regarding their application status in a timely manner
  • Ensure apartment is ready for resident to move in on agreed date
  • Perform and complete move- in and move-out inspections with accuracy and attention to detail.
  • Inform the Property Manager of any deficiencies or problems that require attention in the building.
  • Promote a strong sense of community through creation and participation of community programming.
  • Demonstrate excellent sale skills by minimizing vacancies and achieving an occupancy rate of 100%.
  • Assist with maintenance duties around the building including but not limited to light duty cleaning, painting, repairs, coordinating contractors and outside general yard upkeep.
Qualifications:
  • Completed post-secondary diploma in Administration, Sales, Business, or related academic field comparable to Canadian academic standards, is preferred.
  • Two (2) ore more years of experience in a sales/customer service role required.
  • Knowledge of the Residential Tenancies Act, laws and legislation preferred.
  • Ability to use Microsoft Office Suite, specifically Word, Excel and Outlook are preferred.
  • Experience using the property management software Yardi is desired.
  • Able to work a flexible schedule, including evenings and weekends.
  • A valid class five (5) driver’s license and personal reliable transportation is required.
  • Criminal Records Check to the company’s satisfaction is required.
  • Manual dexterity is required to work with computers and peripherals.
